This Privacy Policy explains how data that you share with CanvasMind is processed and protected.

The terms "user" and "you" refer to a person that uses the CanvasMind Application ("App"), visits CanvasMind website, or contacts CanvasMind.

The terms "CanvasMind" and "we" refer to the individual developer who is responsible for processing personal data as described in this Privacy Policy. CanvasMind is operated by:

1. Collection of Personal Information

Data Storage Model

It’s important to understand that CanvasMind stores your personal data locally on your own device. Journal entries, reflections, mood data and settings never leave your phone or tablet unless you explicitly share an entry with a friend (see “Data Sharing and Cloud Storage”).

Information We Collect Automatically

When you use our App, we automatically collect certain information, including:

  • Device information: Your device model, operating system version, network settings, and unique device identifier
  • Usage patterns: Which features of the App you open and use, which buttons you interact with
  • Time metrics: Frequency and duration of your activities in the App, when you are active
  • Approximate location: Country/region level location data (determined by IP address)
  • Error logs: Data about App crashes or technical issues

Information We Do NOT Collect or Access

CanvasMind does not:

  • Your journal entries or drawings
  • Your personal thoughts or reflections
  • Your scheduled activities or routines
  • The content of your mood tracking entries
  • Any mental health data you enter into the App

Example: While we may know that you used the journaling feature on a specific date, we do not have access to the actual content of what you wrote.

Mental Health Data

We take the protection of mental health-related data with the utmost seriousness. The mood data, journal entries, and creative expressions you create in the App are considered sensitive and are:

  • Stored with enhanced encryption
  • Never shared with third parties for marketing or advertising purposes
  • Never used to categorize you for insurance, employment, or credit purposes
  • Only used in anonymized, aggregated form for application improvement

Data Sharing and Cloud Storage

Your data is stored both locally on your device and in secure cloud storage to enable features like backup and multi-device access. Cloud storage uses industry-standard encryption and authentication measures.

Information You Provide Directly

You may choose to provide us with certain information, including:

  • Account information: Email address, display name, password
  • Mood data: Emotions, energy levels, and associated timestamps you log
  • Creative content: Artwork, journal entries, reflections you create
  • Feedback and support requests: Information you share when contacting us

Financial and Subscription Information

If you purchase premium features, payment processing is handled by Apple App Store or Google Play. We receive confirmation of subscription status but do not store full payment details.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the App and its features
  • Process transactions and manage your account
  • Respond to your comments and questions
  • Send important notices and updates
  • Protect against fraudulent or illegal activity
  • Develop new features based on user behavior (using aggregated data)
  • Personalize your experience with appropriate suggestions

Legal Grounds for Processing

We process your information based on:

  • Performance of our contract with you (providing the App services)
  • Your consent (for optional features and communications)
  • Legitimate interests (improving and securing our services)

We may share information with trusted service providers who perform services on our behalf, including:

App Store Providers

If you download the App through the Apple App Store or Google Play Store, these platforms may collect and process certain data as described in their respective privacy policies.

Business Transfers

If CanvasMind is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email and/or prominent notice in the App of any change in ownership or uses of your information.

4. Data Security and Retention

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit and at rest
  • Pseudonymization where appropriate
  • Strict access controls (need-to-know basis)
  • Careful selection of service providers with proven security standards
  • Regular internal security assessments

However, no security system is impenetrable, and we cannot guarantee the absolute security of your information.

Data Retention

We follow the principle of storage limitation:

  • App-usage & analytics: retained up to 24 months
  • Error logs & diagnostics: retained up to 180 days
  • Support e-mails: kept up to 12 months after your last message or until the request is resolved, whichever is later

If you delete your account or withdraw consent, we erase remaining server-side data within 30 days, unless a longer period is required by law. Locally stored data disappears when you uninstall the app.

5. Your Privacy Rights

Your Control Over Your Data

You have several rights regarding your personal information:

  • Access and portability: View and export your data through the App
  • Correction: Edit your profile information in the App settings
  • Deletion: Delete specific content or your entire account
  • Restriction: Limit data collection through device settings
  • Objection: Opt out of certain data processing activities

California and EU User Rights

Residents of California and the European Union may have additional rights. See Section 10 for more details.

6. Children's Privacy

The App is not intended for users under 16 years of age. We do not knowingly collect personal information from children. If we discover that a child has provided us with personal information, we will delete it. If you believe we might have information from or about a child, please contact us.

7. Analytics and Data Collection

We use analytics services to understand how users interact with our App. These services collect information about app usage, but we configure them to respect privacy by:

  • Anonymizing IP addresses
  • Limiting data retention periods
  • Disabling user-level tracking in favor of aggregated statistics

For material changes we will also display an in-app banner and/or send an email notification.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last Updated" date. For significant changes, we will provide a more prominent notice or email notification. We encourage you to review this Privacy Policy periodically.

If you are in the European Economic Area, you have rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, port, and erase your data, as well as the right to restrict or object to certain processing of your data. You also have the right to lodge a complaint with a supervisory authority.
